Here’s how we helped Cleardata UK to improve its IT infrastructure and disaster recovery strategy.
“We were looking for an IT partner who understood our business and who were prepared to work with us as if they were part of our own team.
“The experience and capability of Atom’s engineers and support team has been outstanding. With the help of the team at Atom we’ve been able to take advantage of the extensive capabilities of Microsoft Azure and modernise everything from our data storage and security to our back-up and disaster recovery services.
“The Atom team are always on hand to help, with a responsive service desk that helps us tackle issues quickly.”
Mick Cook, IT Manager Cleardata
Cleardata is a leading data management company, providing document scanning, secure archive storage, cloud document management, digital mailroom and automated document processing services to organisations across a range of industries. Keen to improve their existing IT infrastructure, the Cleardata team challenged us to help them modernise their IT infrastructure, squeeze genuine value out of Microsoft Azure and provide high quality Managed IT services.
Initial scoping undertaken in February 2024 showed us that the Cleardata team were experiencing IT inefficiencies and performance-related issues. Resilience and scalability of their infrastructure and data centres were a top priority to meet the needs of the business and ensure SLAs were maintained for customers.
As an organisation assured to ISO27001 (Information Security), BS 22301 (Business Continuity) and Cyber Essentials Plus, Cleardata is required to meet and maintain high standards for their IT infrastructure.
With this in mind, we worked with the business to optimise server performance – a particularly important task for an organisation responsible for scanning millions of documents every day. Any degraded performance could impact productivity, and so Cleardata wanted to ensure these were optimised for high speed and efficiency.
In addition, we identified opportunities to improve Cleardata’s disaster recovery strategy, certifications and IT environment availability.
The solution
Working with the team at Cleardata, we conducted a thorough assessment of the organisation’s IT environment and identified the areas in need of some TLC. We cooked up a remediation strategy to bring about improvements to the environment in a phased approach that would minimise disruption to the business and its customers.
To augment Cleardata’s existing infrastructure, we designed and implemented a new Azure-based cloud solution that could improve operational efficiency, scalability and data security. This was backed up by a new disaster recovery strategy leveraging Azure’s back-up and recovery services.
In a nutshell, this approach serves to improve Cleardata’s IT availability and service offerings with Azure’s cloud capabilities and features.
The impact
In IT circles, success doesn’t come in the form of a big cheque or a pot of gold. Improving IT infrastructure, operations and security is a slow burning achievement that compounds over time – either to allow for business growth, save money, enhance productivity or avoid disaster.
As a result of our work with Cleardata, we’ve been delighted to see the business benefit from improved efficiency and security – improvements that support the growth of a driven and ambitious organisation.
With help from Azure’s virtual workloads, SaaS and storage services, we’ve helped Cleardata to modernise, reducing power and resource consumption needs in the process.
We also pride ourselves on our customer support experience and our “talk first” policy at Atom – instead of a sluggish ticketing system that kicks urgent issues down the road. We’ve worked to ensure that IT support has been delivered in a timely, professional, and effective manner – both virtually and on-site where necessary.
With our support, Cleardata has uplifted its disaster recovery strategy using Azure’s ASR technology. This ensures that data and operations are protected. Using Azure’s comprehensive stack of solutions, Cleardata’s IT availability and service offerings have also been enhanced, enabling the company to meet customer expectations and demands.
Implementing new security features and operational improvements also protects and future proofs Cleardata’s business, giving customers peace of mind.
